Wild Tenders YOUTH PROGRAM

REGISTRATION OVERVIEW

Greetings Wild Tenders families! This page provides a step-by-step overview of the registration process for joining Wild Tenders. If you have have questions, please contact youthprograms@weavingearth.org.

STEP 1: APPLY

Completing your application requires the following two (2) actions.

STEP 1A: FILL OUT AN ONLINE APPLICATION FORM

After you’ve read through this page, fill out an online application. Please follow all instructions, including those that relate to saving your work in case of technical difficulties. Note that you must fill out a separate application for each child you are applying for.

STEP 1B: PAY THE APPLICATION FEE

When you complete each application, you will be taken to a payment screen to complete this fee. Pay the $30 application fee for each application you submit. This non-refundable processing fee is imperative to our ability to thoroughly review each and every application we receive.

Once both steps are complete, we will review your application

STEP 2: APPLICATION REVIEW

CONFIRMATION EMAIL: You will receive two automated confirmation emails: (1) an email from Weaving Earth confirming that we received your application AND (2) an email from PayPal confirming that we received your application fee. If you don’t receive these emails, check your spam folder first. If they aren’t there, something went wrong with your submission. Please email us at info@weavingearth.org for support. Please note that if you choose to mail in your application fee, you will receive the first automated email and an additional email once we’ve received your check in the mail.

REVIEW AND FOLLOW-UP: Weaving Earth staff will review your application/s within 10 business days. If any follow-up is needed, we will reach out directly to request more information or to schedule a time to talk. We are deeply committed to ensuring that Wild Tenders is a good fit for our participants, and vice versa. These follow-up conversations are typically to further explore you child’s particular needs, in order to make sure that our mentors can support them in the field.

ENROLLMENT DECISIONS: Once accepted, you will receive a welcome packet that includes additional program info and next steps to complete your registration. This welcome packet will be emailed to you, unless you indicated on your application that you would prefer a mailed packet.  If Wild Tenders does not feel like the right fit at this time, we will reach out to let you know.

STEP 3: reserve your spot(S)

Wild Tenders receives more applications and interest than we have capacity to accept. In order to reserve your spot(s) in the program, you must complete the following steps within two weeks of receiving your welcome packet. 

STEP 3A: FILL OUT A FINANCIAL AGREEMENT

Submit your Financial Agreement within two weeks of receiving your welcome packet. You can access the necessary Financial Agreement/s from our Parent Portal page — each child you are enrolling needs a separate Financial Agreement. Fill out and sign the online Financial Agreement/s to officially indicate whether you will make a one-time payment, use the WE payment plan, or seek Charter School assistance. If you receive Charter School assistance and it doesn’t cover your total Wild Tenders tuition, you can pay the remainder all at once or use the WE Payment Plan. Make sure that you read and understand the cancellation policy that is articulated in this form. You will be asked to initial and sign that you have read and fully understand the cancellation policy.

STEP 3B: Mail in your deposit

Send us a $400 deposit within two weeks of receiving your welcome packet to hold your spot. If we haven’t received your deposit within two weeks, your application will remain active and on file, but we will open the spot up to other applicants with no guarantee that there will be space for you in Wild Tenders for the year. Please note that this deposit is non-refundable. If you submit your payment and decide later, at any point, to cancel your application to Wild Tenders, we will retain the $400 deposit. This applies to all applicants regardless of the payment option you are choosing. Additional penalties apply for last-minute cancellations. Please see the cancellation policy on our financial agreement for the specific terms of these last-minute cancellations.

STEP 4: COMPLETE YOUR REGISTRATION BY JUNE 16, 2021

STEP 4a: FILL OUT ADMIN FORMS

There are five online administrative forms you need to complete, all of which are accessible via the Parent Portal. Your Admin Forms are due by June 16th, 2021.

STEP 4b: MAIL IN YOUR PAYMENTS BY june 16th

Next steps on your payment are also due by June 16th, 2021.

If you are making a one time payment…

Send us a check for the full program tuition (minus the $400 deposit) by June 16, 2020.

If you are using the WE payment plan…

Send us all of your WE Payment Plan checks by June 15, 2020, dated and written for the amounts that are indicated on your Financial Agreement. Please note that if you don’t send us all of your checks at once (including the post-dated checks), you haven’t completed your payment.

IF YOU ARE pursuing charter school assistance…

Contact your Charter School of choice and let us know as soon as possible what they will be offering for tuition support. Note: If your charter school assistance covers the full program tuition for the year, we will return your $400 deposit once we have received complete payment from the charter school.

We cannot officially hold your spot without completion of Step 4. If we haven’t received your administrative paperwork and payment within the designated timeframes, your application will remain active and on file, but we will open the spot up to other applicants with no guarantee that there will be space for you in Wild Tenders for the year. reserve your spot(S) BY JUNE 9, 2021!

Wild Tenders receives more applications and interest than we have capacity to accept. In order to reserve your spot(s) in the program, you must complete the steps outlined below by June 9, 2021. All of the registration forms are available via the Wild Tenders Parent Portal. Please read through the following information first, and then head to the Parent Portal to complete your registration. If you do not complete these steps by June 9, we will open your spot to families on the waitlist.

STEP 1: FILL OUT A FINANCIAL AGREEMENT for each child you are registering

You can access the necessary Financial Agreement/s from our Parent Portal page — each child you are enrolling needs a separate Financial Agreement. Fill out and sign the online Financial Agreement/s to officially indicate whether you will make a one-time payment, use the WE payment plan, or use Charter School assistance. If you receive Charter School assistance and it doesn’t cover your total Wild Tenders tuition, you can pay the remainder all at once or use the WE Payment Plan. If you are receiving a scholarship, please follow the specific instructions that came in your welcome email regarding how to fill out that Financial Agreement.

The Financial Agreement will provide you with detailed instructions about how to complete your payment for the program (also, see Step 3 on this page for more information).

A special note about cancellations: Make sure that you read and understand the Cancellation Policy that is articulated in your Financial Agreement. You will be asked to initial and sign that you have read the Cancellation Policy, that you understand it, and that you agree to it.

STEP 2: COMPLETE YOUR ADMIN FORMS

There are six online administrative forms you need to complete, all of which are accessible via the Parent Portal. The forms are:

Media Release
Liability Release
Consent to Treatment
Emergency Info**
Health History**

**If you attended either our Spring Break Camp or Summer Camp, you do not need to fill out these two forms again unless information has changed.

There is also a COVID-19 protocols document, accessible via the Parent Portal, that we ask you to review before completing your admin forms. You will be asked to affirm in your Liability Release that you have read and understood our COVID-19 protocols. 

STEP 3: Mail in your DEPOSIT and PAYMENT

There is a $400 deposit to hold your spot in Wild Tenders (note that the deposit is $200 for families who are receiving a scholarship to attend Wild Tenders). This deposit is non-refundable. If you submit your payment and decide later, at any point, to cancel your application to Wild Tenders, we will retain the deposit. This applies to all applicants regardless of the payment option you are choosing. Additional penalties apply for last-minute cancellations. Please see the cancellation policy on our Financial Agreement for the specific terms of these last-minute cancellations.

This deposit and your payment(s) are due by June 9, 2021. Regarding your tuition payments, your Financial Agreement will provide you with specific instructions for your personal situation, based on whether you are making a one-time payment or using the WE Payment Plan. As is explained in the Financial Agreement that you will fill out, the deposit check can be dated June 9, 2021. All other checks will be postdated — again, specific instructions for check amounts and dates are specific to your situation and will be detailed in your personal Financial Agreement.
